1. Do you have a new location or building you want to showcase?
2. Is the location easy to find?
3. Is there any road construction that will make it difficult for attendees to get to the site?
4. Is the site located in an area that attendees consider safe?
5. Is parking easily accessible to guests and vendors? Is it free?
6. Does the cost of the location fit within your budget?
7. Does the location meet all standards for accessibility to those with disabilities?
8. Is there an adequate number of restrooms for the size of the event?
9. Does the image of the location fit the image of your organization?
10. Is the site staff easy to work with and willing to go the extra mile?
11. Are there special permits required for the site?
12. If it is an outdoor site, is there an indoor alternative in case of bad weather?
Checklist #8: Defining Your Publicity Goals
To help you stay focused and make best use of your time and money, answer the following questions before beginning your publicity campaign. 1. What do you want to accomplish?
2. Who do you want to reach?
3. What is their income level?
4. How do you want your event to be portrayed?
5. What newspapers and magazines do they read? (Including shoppers)
6. What newsletters do they read? (See Oxbridge Directory of Newsletters)
7. What radio shows do they listen to?
8. What controversial topics are they interested in?
9. What geographic market are you targeting?
10. What media are within that market?
11. Which local media can help? (College newspapers, small radio stations)
12. Which statewide media can help?
13. Which national media? (Travel magazines, newspaper travel editors)
14. What groups/businesses can help you? (Chambers, Dept. of Tourism, local businesses)
15. Can I produce a TV program on the cable TV public access channel?
16. What media do attendees read/listen to? Ask them at the event!
Checklist #13: Example of a Tip Sheet
(Tip sheets should be printed on your letterhead. They do not have to be accompanied by a cover letter or news release. But be sure you send it to a specific contact at each media outlet.)
9 Tips for Surviving the EAA Convention
1. Make hotel reservations early. Use the Housing Hotline at 920-235-3007.
2. Wear comfortable shoes.
3. Make a plan on what to see. Use free maps available at the gate.
4. Plan extra travel time because of Route 41 road construction.
5. Check our website at www.AirVenture.org
for up-to-date news.
6. Drink lots of water and other liquids when the mercury is above 85 degrees.
7. Carry a backpack.
8. Bring lip balm.
